Personal Assistant for freelancers

The Personal Assistant (PA) is an AI-powered tool that helps freelancers manage pre-order communication with new clients. It learns from your profile, Gigs, and past chats to provide fast, professional responses—replying to inquiries, gathering requirements, answering FAQs, and handing over complex requests when needed.

This ensures you never miss a lead, keeps your response rate high, and frees you to focus on delivering quality work while winning more orders with confidence.

 


Eligibility

To activate the PA, you must meet one of the following requirements:

  • Be Level One or above.
    If you are demoted to no level after activating the PA, it will remain active.
  • Be a Seller Plus Standard or Premium subscriber.
    If you cancel your Seller Plus subscription, you will lose your activation and eligibility.

PA conversations with clients

  • The PA responds only to new potential clients (buyers who do not also sell on Fiverr).
  • It does not engage with repeat clients who have already interacted with you in the past.
  • Conversations:
    • All conversations are saved and available in your inbox.
    • You can view conversations live and take over at any time.
    • If the PA hands over a conversation, a summary is generated for you.
    • If you’re unavailable, a follow-up message is sent to the client.

Quick start guide

To activate & customize your PA smoothly:

  1. Open the Personal Assistant Hub from the My Business menu > Personal Assistant.
    For quick access, click here.
  2. If it's your first time on the hub, you'll walk through a guided onboarding process to train the assistant and review its capabilities.
  3. Set up your assistant Settings (name, availability, handover rules, languages).
  4. Train your assistant in the Knowledge base:  
    • Add your intro bio under Personalize how your assistant presents you.
    • Edit service-specific rules (what you do/don’t offer).
    • Choose your pricing & package chat style.
  5. Preview your setup: Use Preview in the Hub Settings or Knowledge base to test responses with sample client questions.
  6. Once you’re satisfied, click Activate assistant.

You can return to the Hub anytime to adjust settings, retrain, or pause the assistant. Watch the video to learn how to fully customize your PA.

PA settings

The Settings tab in the Hub allows you to control how your assistant works and appears to clients.

Here you can:

  • Name your assistant.
  • Decide its availability (Always on, When offline, or Custom schedule).
  • Set your assistant audience which clients your assistant chats with.
  • Define handover rules when the PA should transfer a conversation to you.
  • Select supported languages from English (default), Spanish, French, German, Arabic, Chinese, Russian, and more.

 

Choose a name that is appropriate and respectful. Avoid offensive language, hate speech, or explicit content. Do not impersonate Fiverr, other individuals, or brands, as this may mislead users or infringe on intellectual property.

Knowledge base

The Knowledge base is your assistant’s training ground. It allows you to refine responses in three main ways:

  1. Personalize how your assistant presents you – Define your tone, communication style, and general rules of engagement.
  2. Customize how your assistant presents your services – Add service-specific do’s and don’ts, requirements for custom offers, and contextual patterns.
  3. Choose how your assistant handles pricing & packages – Select a conversational style ranging from informative to assertive.

You can edit insights at any time. After making changes, click Save changes to update your assistant, or Restore default to reset to Fiverr’s pre-filled guidance.

Preview mode

Before going live, test how your assistant responds.

Open the Personal Assistant hub > Settings or Knowledge base tabs > Click Preview (top right).

  • Safe testing space: Only you see the replies — use it to check tone, accuracy, and handoff behavior.
  • Test with real buyer-style questions, such as:
    • “What’s your price for a logo?” (negative scope)
    • “Can you deliver by tomorrow?” (rush rules)
    • “What’s included in your package?” (package details)
    • “Do you offer unlimited revisions?” (revision rules)
  • Review how your assistant replies and edit the Knowledge base rules if needed.
    • Please note, while clients can upload attachments when communicating with the assistant, this feature isn't available in Preview mode.

Every time you save new updates in your Knowledge base or Settings, the Preview chat resets and starts from the beginning. This ensures your assistant reflects your latest setup before handling real client conversations. 

Performance analytics

In the Personal Assistant hub, you’ll find the Performance analytics dashboard. This gives you insight into how your PA is helping your business.

This dashboard will remain empty until your PA has enough data to generate analytics (at least 15 PA conversations).

  •  
    • Revenue driven – Total income generated from PA-handled conversations.
    • Number of orders – How many orders originated from PA interactions.
    • Average selling price – The typical value of orders closed through the PA.
    • Conversion rate within the first hour – The percentage of leads converted quickly thanks to PA responses.
    • New customers engaged – Share of first-time buyers who interacted with the PA.

Functionality highlights

  • Auto replies: When the PA is active, your auto-replies are disabled to prevent duplicate responses.
  • Notifications: You’ll be alerted when the PA needs you to step in, or when a client asks to speak directly with you.
  • Out of office: The PA turns off automatically if you set your Fiverr status to “Out of office.”
  • Conversation handover: If disabled, ongoing chats are transferred to your inbox for you to take over.
  • Mobile: The mobile app offers convenient on/off toggling to activate or pause the PA, while the desktop version provides complete control and customization.
  • Response rate: By setting your PA to Always on, you can actively boost your Fiverr response rate, ensuring you never miss an opportunity and helping your business grow.

Subscription & payment

  • Cost: $19/month (standalone) or included with Seller Plus Standard or Premium.
  • Billing: Automatically renewed monthly via Fiverr balance, PayPal, or credit card.
  • Cancellation: Cancels at the end of the billing cycle (non-refundable).
  • Subscription change: If you upgrade to Seller Plus Standard or Premium mid-cycle, you’ll receive a prorated refund for unused PA days.

Data usage

  • The PA uses three primary knowledge sources to learn how to answer prospective clients’ questions:
    • Your freelancer profile
    • Your Gigs
    • Chat history (up to 12 months / 1,000 past interactions)
  • Fiverr implements various organizational and technical measures to protect your data and how we use it, as detailed in Fiverr’s Privacy Policy. The Personal Assistant only uses your profile, Gig, and chat history for responses.

Best practices

  • Keep your Knowledge base updated with clear rules and service details.
  • Use Always on availability to maximize your response rate.
  • Be explicit about services you don’t provide to avoid confusion.
  • Regularly test and refine your setup in Preview mode.
  • PA settings and Knowledge base updates are available on desktop only. In the mobile app, freelancers can only toggle the PA on or off.

FAQs

  • When activated, the PA replies instantly to new clients, gathers requirements, and answers common questions. Complex requests or custom offers are handed over to you.
  • Yes. It learns from your Gig details, FAQs, and past conversations to match your style and improve over time.
  • You can set a custom name. The avatar is pre-set and cannot be changed.
  • Your PA is trained using your Gig details, FAQs, past conversations, and custom Q&A responses. You can’t script every reply, but you can retrain and configure it anytime via the knowledge base. For more details, check out our article on Training your Personal Assistant.
  • Yes. PA responses count positively toward your Fiverr response rate and can help you improve it.
  • The PA analyzes up to 12 months or 1,000 past interactions from the date you begin training it, ensuring it has enough context to represent your business accurately.
